Supported Accommodation Management Platform


Overview

ProVision Support Services CIC is a community interest company that provides supported accommodation for vulnerable adults. Their staff look after tenants from their first referral right through to move-on, and they have to meet strict safeguarding, data protection and inspection rules at every step.

Bitnox Technology designed and built a web-based management system that brings the whole service onto one platform: tenant records, support planning, incidents, safeguarding, properties, staff compliance and reporting.


The Challenge

Before the project, ProVision ran on manual processes and separate tools. That caused several problems:

  • Scattered tenant information. Referrals, support notes, documents and incident reports sat in different places, so staff struggled to see a full picture of any one person.

  • Compliance risk. DBS checks, training certificates and support plan reviews were tracked by hand, which made missed expiry dates and overdue reviews likely.

  • Slow escalation. Nothing made sure that a serious incident or safeguarding concern reached the right manager in time.

  • Sensitive data handled without enough control. The organisation holds special category data, including safeguarding records and health-related information. Under UK GDPR, access to it has to be limited, justified and fully traceable.

  • No room to grow. The service needed a CQC-ready foundation it could build on as it expanded.


Our Approach

We began with a detailed scope document and a phased plan, then delivered the platform in more than 27 planned phases. Each phase produced working software the client could review. This let ProVision test features against real processes early and change direction where their day-to-day practice differed from the original brief.

Our priorities from the start were:

  1. Model the full tenant journey, from referral and assessment through admission, active stay, discharge and archive.

  2. Treat data protection as part of the architecture, not something added at the end.

  3. Keep the interface simple for non-technical care staff, with in-app guidance wherever a workflow is complex.

  4. Build for long-term maintenance, with clear boundaries between the interface, business logic and background processing.


The Solution

Full Tenant Lifecycle Management

Every tenant record follows a defined path. Referrals are logged and assessed by a manager. Only an approved admission can create a tenant. From there, staff assign a property and unit, upload documents, record support notes and manage support plans. At discharge, the system captures the exit reason, destination and outcome, then moves the record into a read-only archive with retention rules applied.

Support Plans with Approval and Review Cycles

Support plans are versioned and go through internal countersigning and external sign-off, for example by social workers. Review dates are tracked automatically and reminders go out before a plan is due. Reusable templates and custom sections let managers adapt plans to each person's needs.

Incident and Safeguarding Management

Incidents are logged by severity, and the right roles are notified as soon as one is raised. A configurable escalation engine automatically moves unacknowledged incidents up the chain within set timeframes.

Consent-Based Tenant Access Control

This is the core of the platform's data protection design. Access to any tenant record needs two separate checks to pass.

Staff Compliance and CQC Evidence

Staff profiles track DBS checks, training and certifications, and send automated reminders before anything expires.

Operations, Reporting and Insight

  • Property, unit and occupancy management, with maintenance ticketing

  • Shift handovers, a shared calendar and visit scheduling

  • Dashboards tailored to each role's daily work

  • Occupancy, incident, referral and compliance reports, exportable as PDF and CSV, with scheduled delivery by email

  • Trend analytics, global search, saved views and bulk actions

  • In-app comments with @mentions, plus notifications that users can receive straight away or as a daily digest

Governance Tools

The platform includes a full audit trail that records IP address and device for sensitive actions. It also provides Subject Access Request exports, data retention management, session monitoring with remote sign-out, and bulk CSV import for moving existing records into the system.
